“Besides saving time, two other major advantages of Payt are that customer files are always complete and the debtor balance is significantly lower. Previously, payment reminders were sent by mail. Now, each invoice is individually reminded through Payt. Some customers still receive the invoice by mail, but the majority by email. Is there a complaint about a specific invoice? Then I can pause the reminder for this invoice in Payt without stopping the process for the other invoices. Once the complaint is resolved, the reminder process for this invoice is also resumed. This gives us control over this process.”
Benefits for both Hendriksen and the customer
The system benefits Hendriksen in two ways: invoices that need to be paid reach the right person faster, and the end customer has the opportunity to pay their invoice quickly and easily via iDEAL. “I notice that many customers make use of this,” says Silvia. “Additionally, the end customer has access to a complete customer file that provides a lot of clarity. In their file, the customer finds an overview of all invoices, the sent reminders, invoice specifications, and they have insight into which invoices have already been paid. The debtor system as it is now set up exudes professionalism and care. This is, of course, very important for us as an accounting firm.”
Various customers are now also optimizing their debtor management with Payt
General director Gerbert-Jan Hendriksen is also very positive about the arrival and use of Payt.
In our previous system, everything had to be done manually. It was assessed per customer whether the reminder/dunning could be sent. This is now fully automated, but in such a way that we maintain control.
I speak to customers who had to get used to it at first, but now find it very pleasant and clear. It also makes them think about their own debtor management. By engaging in conversation and sharing our experiences, we have already implemented Payt with many customers. They too are optimizing their debtor management,” says director Gerbert-Jan. “Entrepreneurs often share knowledge and experiences among themselves about what works and what doesn’t. Payt is a great example of a system that works wonderfully for us and which we are happy to share with other entrepreneurs. And the great thing is that as a Payt Certified partner, we also help with the setup and implementation of Payt for other entrepreneurs.”
From implementation to realization
Adopting new software naturally involves more than just using the software, Hendriksen acknowledges. “During the implementation, we informed customers about the change in debtor management and explained what these changes meant for them. Consider the digitization of payment reminders and the ability to pay invoices directly with iDEAL. Customers who indicate in the file that they still want to receive a paper invoice, of course, receive it. These are mainly the somewhat older entrepreneurs. However, Silvia points out the benefits of a digital invoice to these customers very well, causing some to still want to switch to digital invoices. And we arrange that, of course!”
Payt is the total solution we were looking for
“Internally, we previously worked with two colleagues on debtor management, and Silvia now does this alone. That alone is a great result. And by involving all colleagues – including our SME advisors – in the implementation of our new working method, we now have an efficient workflow. Where previously advisors influenced the sending of reminders, this is now much less. This reduces the chance of miscommunication with the customer, provides structure, and creates clarity. In short, with the arrival of Payt, we achieve more efficiency through a lower debtor balance, savings on personnel costs, and we help entrepreneurs realize the same benefits for their organization. A software that meets our needs and exceeds our expectations.”
