An automated process for accounts receivable management that always does its job, even when we don’t have time.

In addition to being brothers, Nando (right in the photo) and Stijn van Beek (left in the photo) also work together in the company that Nando founded in 2007.

During his computer science studies, Nando started the IT company NVBIT. For the administration of his company, he sought someone to support him, and that became his brother Stijn, who was studying law at the time and could nicely combine this side job with his studies. “The side job that started as one day a week has now grown to 5 days a week in the role of operational manager and project manager,” says Nando.

The IT company from Alkmaar is an MSP (Managed Service Provider) that helps organizations with digitizing business processes, as well as transitioning to the cloud, security, and the modern workplace (Microsoft 365).

Collaboration as Brothers

Nando: “The collaboration as family/brothers is going well. You can address each other on things more easily (both ways) but also trust each other directly. Something that would take years with other new colleagues to reach the same level.”

Nando and Stijn definitely recommend collaboration between brothers and sisters. “Of course, you have to get along and be able to work together. But otherwise, you probably wouldn’t even consider it. It’s also just very enjoyable and great to be able to and be allowed to work together as brothers.”

Everything Manually

“Before we worked with Payt, I, as the owner, did the accounts receivable management myself and manually. When I had time, I manually went through the list of outstanding invoices from customers and sent them an email. To follow up on this first reminder, I looked in my sent items a few weeks later to see which customers I had reminded and whether they had paid by then. If necessary, I would send them a second reminder. A process that is far from ideal, of course.

Additionally, I had stopped with direct debit. This was done through the bank and had to be done manually because the bank had no connection with our accounting program. It was all very cumbersome and took more work than it yielded.”

Reducing the List of Outstanding Invoices

In February 2019, they started with Payt. “The goal was to automate accounts receivable management and reduce that list of outstanding invoices.” A better experience and communication with customers was also a wish of NVBIT. “Additionally, we found it important to reactivate direct debit, and fortunately, Payt had a connection for that.”

Almost No Need to Look Back

Since using Payt, NVBIT has almost no need to look back at accounts receivable management. Only the exceptions. “We have gone from 0 to 64 direct debits (customers) per month. And we no longer spend time reminding and following up on outstanding invoices. “An automated process for accounts receivable management that always does its job, even when we don’t have time.” Stijn: “Our customers have their own overview and can see everything. Through the portal, customers can view their invoices and respond to them. Additionally, you can add unlimited users in Payt, allowing us to give everyone in the company access to Payt. This way, we can always see what colleagues have discussed with the customer. The internal notes are also very useful as a reminder for yourself.”

Can we do without Payt? No, of course not! It makes everything so much easier, I would recommend it to everyone.
