Large savings, better communication, and faster payment for Home Vaccination thanks to Payt

Shortly after visiting us, our customers go on a Big Five safari in Uganda, explore the underwater world of Thailand, or wander through the bush of Sumatra. Paying an invoice for vaccinations doesn't always get their attention then.

Marco van Drielen is Manager Finance & Control at Thuisvaccinatie, an organization that provides travel vaccinations at home. Since the beginning of 2017, the organization has been using Payt. Since then, there has been more contact with the customer, invoices are paid faster, and fewer claims end up with a collection agency.

Significant Savings & Better Communication

Up until 2016, Thuisvaccinatie used factoring. “For every invoice, we paid administrative costs and also a substantial amount of interest because we wanted to receive the money after two weeks instead of the usual two months. As we grew significantly each year, the costs for our debtor management skyrocketed,” says Marco. The company came into contact with Payt through their accountant Phidra and was immediately enthusiastic. Not only because Payt achieved significant savings, but also because communication with customers improved considerably.

Completely Digital

Previously, Thuisvaccinatie used a factoring company for its invoicing. This company handles the entire invoicing process, pays all outstanding invoices within 14 days, and takes care of collecting the outstanding invoices from the customers. This way, as an organization, you are always assured of payment. However, a major disadvantage was that the factoring company sent the invoices and reminders by mail.

But our customers usually go on a trip immediately after vaccination, causing them to miss the communication by mail. Not really a warm welcome if Thuisvaccinatie’s claim is already with the collection agency upon their return home.

How different it is now, as the company’s customers receive their invoice via email and can pay with one click through iDeal. If the invoice is not paid within the payment term, Thuisvaccinatie sends a reminder at set times via Payt. “Three reminders, no less. My colleagues can see if a customer has opened the email. If we see that this is not the case, we call to check if we have the correct email address,” Marco explains. If the invoice is not paid despite multiple reminders, the customer receives several more opportunities to make the payment through Payt’s online collection process via email, SMS, phone, and mail.

If a customer is willing to pay, the claim never needs to lead to a legal collection process.

Payment Plan

In addition to the streamlined process, Thuisvaccinatie is also better able to maintain contact with its customers through Payt. “Invoices are often viewed in the evening or on weekends. If a customer has a question, they can ask it via Payt, so we can address it directly the next morning. The question is related to the invoice, so you immediately know what it’s about. And if a customer is short on cash – or if they are in Uganda among the gorillas – and therefore unable to pay, we are quite willing to pause the claim or make an arrangement,” says Marco. “But we need to know. With Payt, notifying us has become much easier.”

Another advantage, according to Marco, is that all correspondence about the invoice is collected in one file. “This way, you can easily find what was said and agreed upon in the past. If it comes to the point where the claim leads to a legal collection process, you can download the entire file with one click. Ideal!”

Thanks to Payt, Thuisvaccinatie has control over their debtor management. “You’ve had some vaccinations from us and yes: you have to pay for that. Payt ensures that this actually happens. And if it doesn’t, the customer is automatically reminded. No more and no less…”
